1. Introduction

Connect12.io (“Connect12”, “we”, “us” or “our”) provides an in-person meeting and networking application for iOS and Android and the related website (together, the “Service”). This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have.

By creating an account or using the Service, you agree to the practices described here. If you do not agree, please do not use the Service.

2. Information we collect

We collect the following categories of information:

  • Account & profile data — your name, email address, phone number, password or third-party login identifiers, profile photo, company, job title and the business details you provide.
  • Sign-in provider data — if you sign in with Google, Facebook, Microsoft 365 or LinkedIn, we receive basic profile information from that provider as permitted by your settings.
  • Contacts & phone book — with your permission, contact details you import or that we read from your device address book to enable contact exchange and networking features.
  • Business-card data — images of business cards you capture and the text we extract from them using optical character recognition (OCR).
  • Audio recordings & transcripts — conversations or voice notes you choose to record, and the transcripts and summaries generated from them.
  • Event data — events you create, public event URLs you paste, and information scraped from those URLs (title, date, location).
  • LinkedIn & enrichment data — where you connect LinkedIn or we enrich a contact, profile and network information made available through that integration.
  • Payment data — subscription and billing information processed by our payment providers (we do not store full card numbers).
  • Usage & device data — app interactions, log data, device type, operating system, identifiers and approximate location, used to operate and improve the Service.

3. How we use your information

We use personal information to:

  • Provide, maintain and improve the Service and its features.
  • Enable contact exchange, business-card capture, event association and networking.
  • Transcribe and summarise recordings, and generate follow-up suggestions, scheduling options and your Top 12 referral insights.
  • Create your personal 60-second commercial using the PASTA framework.
  • Process subscriptions and payments.
  • Communicate with you about your account, security and updates.
  • Detect, prevent and address fraud, abuse and security issues.
  • Comply with legal obligations.

4. Artificial intelligence & automated processing

The Service uses large language models (LLMs) and other AI systems — provided by us and by trusted third-party AI vendors — to transcribe audio, summarise conversations, tag industries, draft follow-up emails, build referral insights and generate your personal commercial.

Content you submit for these features (such as audio, transcripts, contact details and profile information) may be processed by these AI providers solely to deliver the feature to you. We do not permit these providers to use your content to train their models for their own purposes. AI-generated output may be inaccurate — you are responsible for reviewing it before relying on or sending it.

5. Contacts & phone book access

Connect12 requests access to your device contacts (phone book) only after you grant permission, and only to power features such as contact exchange, networking and referral mapping.

You can decline or revoke this permission at any time in your device settings; some features will be limited without it. We do not sell your contacts, and we do not upload your address book except as needed to provide the features you use.

6. Audio recording & consent

Recording only occurs when you start it. You are responsible for complying with all applicable laws regarding the recording of conversations, including obtaining the consent of other participants where required by law.

You can delete recordings, transcripts and summaries from within the app. Deleting them removes them from your account, subject to limited backup retention described below.

7. How we share information

We do not sell your personal information. We share it only in these circumstances:

  • Service providers — cloud hosting, analytics, customer support and communications vendors who process data on our behalf under contract.
  • Payment processors — Stripe and Authorize.Net, to process subscriptions and payments securely.
  • AI providers — LLM and transcription vendors that process your content to deliver AI features, as described in Section 4.
  • Integrations you enable — such as LinkedIn and your Google or Outlook calendar, used according to their own terms and your authorisation.
  • Legal & safety — where required by law, regulation or legal process, or to protect rights, safety and the integrity of the Service.
  • Business transfers — in connection with a merger, acquisition or sale of assets, subject to this Policy.

8. Payments

Subscriptions are billed through Stripe and Authorize.Net, or through the Apple App Store or Google Play where applicable. These processors handle your payment details under their own privacy policies and security standards. We receive confirmation of payment and limited billing metadata, but not your full card number.

9. Data retention

We keep personal information for as long as your account is active or as needed to provide the Service, then delete or anonymise it within a reasonable period, unless a longer retention is required for legal, accounting or fraud-prevention purposes. Residual copies may persist in backups for a limited time before being overwritten.

10. Security

We use encryption in transit, access controls and other technical and organisational measures to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

11. Your rights & choices

Depending on where you live (including under the GDPR and CCPA/CPRA), you may have the right to access, correct, export, restrict or delete your personal information, and to object to certain processing. You can:

  • Access and edit your profile in the app.
  • Export your contacts and notes from your account.
  • Delete your account, which removes your personal data subject to limited backup retention.
  • Manage device permissions for contacts, microphone, camera and location.

Contact us at privacy@connect12.io to exercise any of these rights. We will not discriminate against you for exercising your privacy rights.

12. Device permissions

The app may request the following permissions, each of which you can manage in your device settings:

  • Contacts — to exchange details and map your network.
  • Microphone — to record conversations and voice notes you initiate.
  • Camera — to scan QR codes and capture business cards.
  • Calendar — to find mutual availability and schedule follow-ups.
  • Notifications — to remind you of follow-ups and updates.

13. Children's privacy

The Service is intended for business use by adults and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

14. International data transfers

We may process and store information in countries other than where you live, including the United States. Where required, we use appropriate safeguards (such as standard contractual clauses) for international transfers.

15. Changes to this Policy

We may update this Policy from time to time. We will post the updated version with a new “last updated” date and, where appropriate, notify you in the app. Continued use of the Service after changes take effect constitutes acceptance.

16. Contact us

Questions, requests or complaints about this Policy or your data can be sent to privacy@connect12.io. We will respond within the time required by applicable law.
